This privacy policy describes how Språkguiden collects and processes personal data that we receive from our visitors to our website. "Personal data" refers to all data that can directly or indirectly identify a person who is alive.

Språkguiden organization number xxxxxxxx, has overall personal data responsibility for the processing of personal data within the framework of the hotel's operations. We use Personal Data, e.g. to administer and process bookings, adapt, provide and develop our services (the "Services") to optimize your experience of them and to make communication with you more personal. 

Your privacy is important to us and we work hard to comply with applicable data protection legislation and to protect your rights. Please read this privacy policy carefully, i.a. to understand how and for what purposes we process your Personal Data and what rights you have. How do we collect personal data about you?

Språkguiden collects and processes your Personal Data only to the extent permitted by applicable data protection legislation. Collection of Personal Data can take place when booking our Services, submitting information via our website or when you are staying with us. Your Personal Data is collected either directly from you or from a company, organization or person who administers our provision of Services to you. Furthermore, we collect personal data through cookies, tags, tracking pixels. 

What types of personal data do we collect?

We only collect Personal Data that is relevant for the purposes described in this privacy policy. Personal information that may be collected is information about name, address, telephone number, e-mail address, IP address and cookies, information to facilitate the use of our website (e.g. default language and user history), information about travel companions, booking preferences , payments, employers, contacts in emergency situations, requirements for a special diet, requirements for adaptation due to functional impairment and other information that you share in connection with contact with us.

Why do we process your personal data?

The language guide collects personal data for various purposes. Which Personal Data is collected and how it is collected depends on which Services you use.

The language guide uses Personal Data to:

1. administer, provide, develop and maintain the Services, including enhancing your use and experience of our Services, 

2. process your bookings and orders for the Services, 

3. contact you via e.g. SMS, other mobile applications or email, to notify you of your booking status or provide you with other information about your booking (before, during and after your stay), 

4. diagnose errors, optimize the technology and be able to contact you in case of problems with a booking or the performance of the Services, 

5. individualize the communication with you, e.g. by creating a profile for you and sending offers that fit your profile as a user of our Services, 

6. analyze statistics and user behaviour, as well as 

7. market and inform about the Services. 

According to which legal grounds do we process your personal data?

Språkguiden bases its processing of Personal Data on various legal grounds as follows:

• The legal basis for processing your Personal Data in order to administer and process a booking that you have made on your own behalf and to provide you with our Services in accordance with this booking is based on the fact that it is necessary to take steps before an agreement (to provide Services) with you is concluded as well as, when the booking is confirmed, to fulfill an agreement with you. 

• Processing of your Personal Data to administer and process a booking that someone else has made and to provide you with our Services in accordance with this booking is based on the fact that it is necessary for our legitimate interest to fulfill our agreement with the company, organization or person who made the booking in question. If you make a booking on behalf of someone else, we will process your Personal Data for our legitimate interest in fulfilling the contract with the company, organization or person to whom the booking relates. 

• The legal basis for processing your Personal Data to diagnose errors, optimize our technology, analyze statistics and user behavior, individualize communication with you is our legitimate interest in providing our customers with the best possible service and optimizing our communication and our Services._cc781905-5cde- 3194-bb3b-136bad5cf58d_

• Processing of your Personal Data to send offers and information and to market the Services is based on our legitimate interest in marketing, promoting and informing about our business and our services. 

• Personal data relating to allergies or functional impairments will only be processed to the extent that we have obtained express consent from you. Our starting point, however, is that such information should be anonymized to the greatest extent possible, of course without jeopardizing the safety of individuals. Furthermore, the data will be deleted immediately after your visit has ended and our need for the data ceases. 

Dispatch of information

When you have made a booking with us, we use your Personal Data to send booking confirmation, important information about the upcoming stay and offers linked to the stay. Such mailings take place to the e-mail address you provided in connection with booking.

After your stay, a survey may be sent out in which we ask you to answer questions about your stay to help us improve our services. We can also send e-mails thanking you for your visit.

Before and during the stay, we may also, via e-mail/SMS, send out information to the e-mail address and/or mobile number that has been entered in connection with the booking. It can e.g. be details of important information before the stay.

Storage and transfer of personal data

Språkguiden stores Personal Data in accordance with this privacy policy and current legislation. Personal data is stored in connection with a booking and subsequent visit with us and thereafter to the extent necessary for the Language Guide to be able to fulfill the legal obligations incumbent on the Language Guide. Furthermore, Språkguiden saves Personal Data to the extent necessary to establish, enforce or defend legal claims, or to detect or prevent fraud or other security problems.

After the visit is over, Språkguiden will keep Personal Data about you in order to send you offers and information. You have the right to request at any time and free of charge that Språkguiden ceases to process your Personal Data for marketing purposes.

Personal data may be transferred between companies. The language guide uses subcontractors, e.g. for computer operation and to provide you with our Services in the best way, and Personal Data may therefore be transferred to these subcontractors. Språkguiden may hire personal data assistants who process your Personal Data only on behalf of Språkguiden  and in accordance with our instructions. Personal data will only be processed by a personal data processor after a personal data processor agreement has been drawn up between us and the personal data processor, so that we can ensure a high level of protection for your Personal Data.

Språkguiden can also disclose Personal Data to the police or other authorities if  Språkguiden is obliged to disclose such information according to law or authority decision. In some cases, the language guide may also need to disclose information to other parties in the context of court or business acquisition processes, audits or the like.

As a rule, the language guide does not process or transfer personal data to countries outside the EU/EEA, but if we e.g. has a subcontractor in a country outside the EU/EEA or it is necessary for us to be able to fulfill our contractual obligations towards you, the transfer of Personal Data outside the EU/EEA can take place even if the country in question, according to the European Commission, does not have adequate protection for Personal Data. In such cases, Språkguiden will take the necessary measures to ensure a high level of protection for your Personal Data and compliance with applicable EU/EEA regulations.

Security and protection of personal data

The language guide takes ongoing measures to fulfill the principles of "built-in data protection and data protection as standard". The language guide continuously evaluates the risks of the personal data processing that takes place and takes the necessary security measures to reduce the risks. Furthermore, Språkguiden restricts access to the Personal Data to those parts of the staff who need to be given access to the data in order for the purposes described in this privacy policy to be fulfilled.

On Språkguiden's website there may be links to other applications and/or web pages that are not controlled by Språkguiden. This privacy policy only applies to your use of our website. The language guide is not responsible for the content of linked applications/web pages and the processing of Personal Data that may be done by owners or operators of linked applications/web pages.

Your right to change, delete and review your personal data

Please inform Språkguiden if your Personal Information changes by sending an e-mail to ingrid@sprakguiden.com  – write “Personal Information” in the subject line. 

The Language Guide will, at your request or when the Language Guide discovers it, correct or delete incorrect or incomplete information. You also have the right to receive, free of charge, an extract showing which Personal Data is processed about you and a copy of this Personal Data. 

In special circumstances (which appear from the applicable data protection legislation), you have the right to ask Språkguiden to limit the use of your Personal Data or to delete your Personal Data. Under certain conditions, in accordance with applicable data protection legislation, you also have the right to data portability. This means a right to obtain and transfer your Personal Data in a structured, commonly used and machine-readable format to another personal data controller.

If Språkguiden processes Personal Data based on your consent, you have the right to withdraw your consent at any time by means of a written notification to Språkguiden. Such withdrawal applies to continued processing and not retroactively. However, you are advised that withdrawal of consent does not affect processing based on a legal basis other than consent (e.g. provision of Services you have ordered).

As has also been stated above, you have the right to request at any time and free of charge that  Språkguiden ceases its processing of your Personal Data for marketing purposes. In addition to this, you can also unsubscribe from sending offers and information via e-mail, by clicking on the unsubscribe link found in the footer of all marketing mailings.

If you are dissatisfied with our processing of your Personal Data, please contact us in the first instance and we will do our best to accommodate your views. Your privacy is very important to us and we always strive to process your Personal Data in the best and safest way possible. If you believe that we fall short of our ambitions, you have the right to submit any complaints regarding our processing of your Personal Data to the Data Protection Authority.
